Here is a great exercise from entrepreneurial guru and best selling author, Tim Ferriss, I have started applying to my daily routine to really own my time:
1) Before launching into your day, write down the 3-5 things – and no more – that are making you most anxious or uncomfortable. They’re often things that have been punted from one day’s to-do list to the next, to the next, to the next, and so on. Most important usually = most uncomfortable, with some chance of rejection or conflict.
2) For each item, ask yourself:
– “If this were the only thing I accomplished today, would I be satisfied with my day?”
– “Will moving this forward make all the other to-do’s unimportant or easier to knock off later?”
3) Look only at the items you’ve answered “yes” to for at least one of these questions.
4) Block out at 2-3 hours to focus on ONE of them for today. Let the rest of the urgent but less important stuff slide. It will still be there tomorrow.
5) TO BE CLEAR: Block out at 2-3 HOURS to focus on ONE of them for today. This is ONE BLOCK OF TIME. Cobbling together 10 minutes here and there to add up to 120 minutes does not work.
6) If you get distracted or start procrastinating, don’t freak out and downward spiral; just gently come back to your ONE to-do.
This solution is called Time blocking. Most people think there’s never enough time to be successful, but there is when you block it. Time blocking is a very results-oriented way of viewing and using time. It’s a way of making sure that what has to be done gets done.
So, go to your calendar and block off all the time you need to accomplish your ONE Thing. If it’s a onetime ONE Thing, block off the appropriate hours and days. If it’s a regular thing, block off the appropriate time every day so it becomes a habit.
When you time block like this, you’re creating the most productive day possible in a way that’s repeatable every day for the rest of your life.
Great success shows up when time is devoted every day to becoming great. To achieve extraordinary results and experience greatness, time block these three things in the following order: 1. Time block your time off. 2. Time block your ONE Thing. 3. Time block your planning time.
When you intend to be successful, you start by protecting time to recharge and reward yourself.
